Drawing Your Oil Sample
Taking a representative oil sample is the first step in the success
of your oil analysis program. Herguth Laboratories, Inc. supplies
you with all of the necessary equipment to sample, identify, and mail
your samples for analysis. Whether you're sampling one or a thousand
pieces of equipment, Herguth has the supplies ready to ship the day
you order.
Engines/Transmission/Gears
These samples are taken after complete shut down. One common method
of sampling is from the drain plug while changing the oil. Take the
sample about halfway through the drain. When using our vacuum sample
gun, avoid contamination by using a new tube for every sample. Cutting
the ends of the sampling tube to an angle of 45 degrees will help
prevent scraping off sludge from the inside of the dip stick tube.
How to Sample With a Vacuum Gun
Insert the sample tube into the top of the vacuum gun about 1/2 inch
past the bottle thread portion. Tighten the nut of the sample gun
head to secure the tube. Screw the sample bottle onto the gun. Insert
the tube to the same length (distance into the crankcase or transmission)
as the oil dipstick tube goes. Further than this distance may collect
debris that is not representative of the oil in use. With the gun
and bottle in the upright position pull back on the vacuum gun slide.
It may take a couple of "pumps" to get oil flowing. When
the bottle is about 3/4 full, unscrew the sample tube nut to relieve
the vacuum. The sample bottle should not be completely full. Remove
the tube and dispose of it in the appropriate manner. Never use the
same tube twice. Insert the tube to the same length (distance into
the crankcase or transmission) as the oil dipstick tube goes. Further
than this distance may collect debris that is not representative of
the oil in use.
NOTE: For single samples a plastic syringe and tube are supplied.
Draw the sample into the tube/syringe combination and fill the sample
bottle by pushing the syringe plunger in to decant the sample into
the bottle. Repeat until ½ to ¾ full.
Reference Oil
Information about proper oil type, grade, additive, and contamination
levels is most useful when compared to a new unused sample of the
same oil. You are strongly encouraged to supply "REFERENCE OIL"
samples whenever you start a program or start using a new lubricant.
Simply include another sample of the new oil with your next shipment
of used oil samples. The laboratory will analyze the new oil and update
the information in your reference oil file.
Identifying Samples
Client / Component ID Form This form comes with your supplies and
only needs to be completed the first time you send us a sample for
a machine. For large fleet operations a simpler method of providing
this information to the laboratory is by sending a computerized spreadsheet
(hardcopy or diskette). The information is stored in the laboratory
computer for all future samples under the specific Component Number
(ID) you assign. Use this exact, same ID (sometimes referred to as
Equipment, Machine or Unit ID) on all future sample labels and correspondence.
Sample Labels Each time a sample is submitted it must have a label
attached. At a minimum, enter your company name, the date sampled
and Machine (Component) ID. If you know the amount of time since the
last oil change, amount of time since overhaul (or new) and the amount
of oil added, enter this information. The label should be filled out
and attached prior to taking the sample to avoid oily residue hindering
the label from sticking to the bottle.

Shipping Samples
Collect as many samples as possible for shipment at the same time,
but do not hold samples more than a day or two. Make sure each bottle
is labeled and the cap is tightly closed. The more samples you place
in one mailer, the less expensive the postage. The mailer provided
holds several sample bottles each. Enclose the labeled sample bottles
and any forms or other information, including quotation numbers and/or
purchase order numbers for the associated samples in a shipping container.
Seal the container and ship to: Herguth Laboratories, Inc. 101 Corporate
